Job Title: Operations Manager

Location: Community Base, Brighton. (Hybrid working available by negotiation)

Hours: Part time, 21 hours per week to be worked flexibly

(Some evening/weekend work)

Salary: £28, 000 p.a. plus pension contribution (£16,800 actual for 21 hours)

Contract: Fixed term, with possibility of extension

Purpose of job: To oversee the day to day activities within a growing charity. Assert (B&H) supports Autistic adults in Brighton and Hove through the provision of a range of high quality and diverse services. A dedicated staff team of 5 and a fantastic team of volunteers deliver our work and we are now looking for an Operations Manager to support with leading and managing on aspects of the charity’s work.

Working with the Strategic Development Manager (SDM) you will be responsible for leading and supporting the staff team and office volunteers. Other areas of responsibility will include: report writing, ensuring good practice within service delivery and the organisation, that outcomes and KPI’s are both reviewed regularly and are being met, overseeing elements of contracts and grants, HR duties, health and safety and risk assessments, Safeguarding, GDPR, managing complaints, support with building and sustaining working relationships and partnerships, support with fundraising activities and general office management and administration tasks.

We are looking for a highly organised and efficient individual who has excellent interpersonal skills. A calm, resilient and self-motivated person with a positive ‘can do’ approach. The ability to multitask, prioritise workload with competing demands and work with empathy. Working flexibly within a small team and ensuring deadlines are met are also essential to the role.

Main duties of the job

  • Areas of Responsibility:

To ensure that all services are of a high quality and meet the needs of both our service users and the requirements of our funders and contracts.

To lead on Human Resources including managing and leading staff and volunteers so that services provided are of a high quality and that staff are supported and feel valued. Conducting regular supervisions and annuals appraisals for the Assert staff team

To ensure that Assert manages its external relationships and communications in a way that promotes the welfare of Autistic adults and enhances the profile of the organisation

To enable Assert to achieve its commitment to equality of opportunity, providing good quality services, involving Autistic adults in all aspects of its work and advocating on behalf of service users

To contribute to the strategic development of the organisation

To lead on delivering the Peer Discussion Groups and Parents, Partners and Carers Group, with staff and volunteer support.

The duties set out in this Job Description are to be carried out in accordance with the Staff Handbook.

  • Specific tasks

Working with and reporting to the SDM. Providing regular up-dates on project, outcomes, HR matters, and office management

Responsible for health and Safety related office matters and for ensuring that risk assessments are up-to date. To support with any up-dates in relation to other Assert policies and procedures. To ensure best practice at all times and to report any issues to the SDM

To manage client complaints with the SDM and follow procedures for investigating and managing these

Track and monitor progress and targets and identify any potential issues in a timely manner

To ensure feedback and evaluations of services are undertaken annually and are meaningful

To work within data protection and GDPR

To ensure that Safeguarding policies and procedures are followed

To produce statistical date as required

To provide progress reports for the SDM as required. To work with staff to produce their project specific reports throughout the year

  • Financial and Resource Management

To ensure the organisation has the resources (human and material) to operate as effectively as possible

To oversee the management of premises, equipment, and assets

  • Service Development and Planning

To ensure that Assert services are planned and developed in line with local need, reflect developments in social policy (e.g., welfare reform, employment, health & social care, benefits and employment related issues)

To ensure that Assert services have clear outcomes, are resourced appropriately, are led by service user involvement and are reviewed/monitored on a regular basis.

To ensure that service development is in accordance with the aims, values and beliefs of the organisation

To work with the SDM to design and plan for new service delivery and areas of work

To work with the SDM to complete funding bids and more general pieces of fundraising work

  • Management and Personnel

To provide leadership to the Assert team.

To ensure that Assert has an organisational structure, appropriate policies & procedures and a management style that fits its aims and objectives; that promotes co-operation, a supportive environment, and opportunities for development; and secures commitment across the organisation.

To ensure effective human resource systems are in place for the recruitment, management, support, training, appraisal and development of staff and volunteers

To ensure systems are in place to monitor and evaluate the work of the organisation against agreed aims and the expectations of funders

To attend supervisions with the SDM and take part in team meetings

  • Communication

To foster good communications throughout the organisation and with relevant external agencies and funders

To represent Assert at appropriate strategy & liaison meetings, events, conferences, etc and ensure that the issues that impact on stakeholders are raised appropriately

To be jointly responsible (with the SDM) for the organisation’s communications including contact with the media and management of the website and social media.

To educate and raise awareness amongst the wider public in all matters relating to autism

To contribute to the purpose and strategic aims of Assert

To contribute to the welfare and wellbeing of staff, volunteers and the members

To uphold the commitment of Assert to the provision of equal opportunities in all aspects of its work

To attend client activities, meetings, discussions, training and working groups as appropriate

To perform other duties as may reasonably be allocated by the SDM and Board from time to time

To ensure risk for clients and staff is managed and information is shared where appropriate
